How we handle student and family information

Information collected
COLA may collect student and parent or guardian names, contact information, age or grade information, educational status, course interests, learning goals, communications, consent records, accessibility needs voluntarily shared by a family, and—only through a secure process when needed—identity, prerequisite and student-record information.
Purposes of collection
Information is used to respond to inquiries, provide the Back-to-School Toolkit, conduct preliminary eligibility review, communicate with families, plan and deliver authorized course access, support learning, assess work, maintain school records, protect academic integrity, and meet applicable reporting or inspection requirements. COLA does not sell student or family information.
Website forms and Google Classroom
Netlify processes website form submissions on COLA's behalf. Only the information entered into a form is transmitted. Google Classroom is the planned learning platform for confirmed students.
Students use an individually verified Google account approved for course access. Account ownership, privacy, identity verification and acceptable-use requirements are documented during enrolment. Google’s applicable service terms and privacy commitments also apply to information processed through its platform. COLA will not publish Classroom join codes.
Minors and parent or guardian consent
For a minor student, COLA requires a parent or guardian, or another person authorized to act for the student, to provide the applicable consent. COLA may communicate with the student and parent or guardian about eligibility, course participation, progress, support, attendance, conduct and records.
Limited access and service providers
Access is limited to COLA personnel and service providers who need the information for an authorized school purpose. Service providers receive only the information needed for their role. COLA does not disclose information for unrelated marketing by third parties.
Access and correction requests
A student, or a parent or guardian where authorized, may request access to or correction of personal information held by COLA. COLA will verify identity and authority before responding and may require a secure method for exchanging records.
Retention and secure disposal
COLA retains information only for as long as it is needed for the purpose collected, school operations, inspection, record responsibilities, dispute resolution or another applicable requirement. When information is no longer required, it is securely deleted, destroyed or anonymized according to the format in which it is held.
Privacy and security incidents
A suspected loss, unauthorized access, use or disclosure will be contained, documented and investigated. COLA will take corrective action and notify affected individuals or appropriate authorities where required.
